Send Emails from Your Own Domain via SMTP in Trans-IT

In this article, we explain how you can send emails from your own domain name using SMTP.

How it works?

At Trans-IT, emails are sent by default using the Trans-IT name. We now also offer the option to send emails directly from your own email address. To enable this, we use SMTP (Simple Mail Transfer Protocol).

SMTP is the standard protocol used worldwide to send emails between email servers. By adding your SMTP configuration in Trans-IT, we can use your email server to send messages as if they were sent directly by you.

You only need to add your SMTP settings in Trans-IT - from then on, we’ll make sure your emails are sent from your own address.

How to add an SMTP configuration in Trans-IT?

You can add your SMTP configuration for both your company and personal account.

Your personal SMTP settings can take priority over the company settings for selected automated use cases.

When sending emails, you’ll have the option to select a “From” email address. Your configured SMTP emails will appear in this list.

How to enable SMTP in Outlook (Microsoft 365 or personal Outlook account)

Enabling SMTP for a Business Outlook Account

If you're using Microsoft 365, you need to enable Authenticated SMTP for the user who will be sending emails via SMTP. You can do this from the Microsoft 365 Admin Center: https://admin.microsoft.com

  1. Go to Active users and select the user.

  2. Click on Mail settings or Manage email apps.

  3. Make sure Authenticated SMTP is checked.

  4. Click Save changes.

Enabling SMTP for a Personal Outlook Account

To use SMTP with a personal Outlook, Hotmail, or Live account, you need to generate an app password. This is required because Microsoft does not allow SMTP traffic using your regular password if two-step verification is enabled.

Here’s how to do it:

  1. Go to your Microsoft account:
    👉 https://account.live.com

  2. Go to Security > Advanced security options:
    👉 https://account.live.com/proofs/Manage

  3. Enable Two-step verification (if not already active).

  4. After enabling it, scroll down to App passwords.

  5. Click on Create a new app password and copy the generated password.

  6. Use this app password as your SMTP password in Trans-IT (not your regular Microsoft password).

After enabling it, please note it may take a few minutes before the changes take effect. Once active, you can use this email address and password in your Trans-IT SMTP settings.

How to enable SMTP in Gmail (Google Workspace or personal Gmail account)

If you're using Gmail (either a personal account or a Google Workspace account), you can use Gmail's SMTP server to send emails from Trans-IT. However, there are a few settings you need to configure first:

For Google Workspace accounts (company email with Gmail):

  1. Go to the Google Admin Console: https://admin.google.com

  2. Navigate to: Apps > Google Workspace > Gmail > End User Access

  3. Ensure that SMTP relay service is allowed or configure per user as needed.

  4. Optionally, also generate App Passwords as with personal accounts.

For personal Gmail accounts:

  1. Go to your Google Account: https://myaccount.google.com

  2. Navigate to Security.

  3. Make sure 2-Step Verification is enabled.

  4. Once enabled, scroll down and generate an App Password:
    https://myaccount.google.com/apppasswords

  5. Use this app password (instead of your regular Gmail password) in the SMTP configuration in Trans-IT.

⚠️ Note: After updating these settings, it may take a few minutes before the changes take effect.

Once everything is set up, you can add your Gmail SMTP configuration in Trans-IT to send emails directly from your Gmail address.

How to generate an app password for Outlook (Microsoft 365 & personal accounts)

If you have two-step verification enabled on your Microsoft account (whether it's a business or personal account), you cannot use your regular password for SMTP. Instead, you’ll need to create an App Password.

Here’s how to do it:

For Microsoft 365 (Business account)

  1. Go to: 👉 https://mysignins.microsoft.com/security-info
    (Log in with your work or school account)

  2. Click on Add sign-in method.

  3. Choose App password from the list.

  4. Follow the steps to generate a new app password.

  5. Copy the generated password — you’ll use this in your Trans-IT SMTP settings.

For Personal Outlook / Hotmail / Live accounts

  1. Enable Two-step verification if not already active.

  2. After enabling it, scroll down to App passwords.

  3. Click on Create a new app password.

  4. Copy the generated password — you’ll use this in your Trans-IT SMTP settings.

How to generate an app password for Gmail (Google Workspace & personal accounts)

If you’re using Gmail with two-step verification enabled, you’ll need to create an App Password to use SMTP with Trans-IT. This applies to both personal Gmail accounts and Google Workspace accounts (with @yourcompany.com addresses).

For Google Workspace (Business Gmail)

  1. Follow the same steps as above using your Google Workspace account.

  2. If the App Passwords page is not available, your admin may need to allow it in the Admin Console.

    Admins can go to:
    👉 https://admin.google.com

    Security > 2-Step Verification > Allow users to generate app passwords

  3. Once allowed, each user can follow the same steps as personal Gmail to create their own app password.

For Personal Gmail Accounts

  1. Go to your Google Account settings:
    👉 https://myaccount.google.com

  2. Navigate to: Security.

  3. Under Signing in to Google, make sure 2-Step Verification is turned on.
    👉 https://myaccount.google.com/security

  4. After enabling 2-Step Verification, go to:
    👉 https://myaccount.google.com/apppasswords

  5. Select "Mail" as the app and "Other (Custom name)" as the device (e.g. "Trans-IT").

  6. Click Generate and copy the app password.

  7. Use this app password in your Trans-IT SMTP settings (instead of your regular Gmail password).
