Use Copilot to create transports from uploaded order documents or emailed PDFs. Start from CoPILOT Document Processing, review the extracted details, and create the transports only after the details are correct.
Open directly:Create transports with Copilot.
Open CoPILOT
In the side menu, open Transports and select CoPILOT. Copilot must be enabled for your company. If you do not see it, ask your administrator.
Start a new document process
On CoPILOT Document Processing, select Process new document to prepare a new upload.
Upload documents
Select Start uploading documents, then upload the order documents. Manual upload accepts PDF, DOCX, and DOC files. Each upload batch can contain up to ten files.
You can also use emailed PDFs when Use Copilot Email Integration is enabled for your company. The setup uses your company configuration, including Company domain name. The email mailbox is set per company. Ask your administrator which address to use.
Prepare the documents
For every uploaded document, choose Pick type and check No. of orders. If you want to overwrite an existing transport, enter the TR transport number before processing. If no transport is found for that number, processing stops for that document.
Select Start processing when every document has an order type.
Follow processing jobs
The jobs overview shows each Copilot job. Use the visible columns Status, Output, and Transports to follow the result.
A job can move through statuses such as In progress, Completed, Unsuccessful, or Rejected. Open the output when a completed job is ready to review. Rejected or hidden jobs cannot be retried or used to create transports.
Review general info
On CoPilot Order details, start with General info. Check the number of transports, appointment date, category, type, and linked documents before moving on.
Select Next to continue to the next form step.
Review transport info
In Transport info, check the customer, contacts, customer reference, container number, seal number, and container type for each order.
Also check operational details such as cargo weight, Goods, ADR, Genset, Customs info, internal transport reference, and Comment. Correct missing or wrong information before continuing.
Review order info
In Order info, review each waypoint card. Check the waypoint type, appointment moment, waypoint location, Address, references, time slot, closing, comments, and Checks.
You can add a waypoint, delete one, swap waypoints, or use Add waypoint to all orders before creating transports.
Review costs info and create
In Costs info, review the Customer, Tariff, Base cost, Additional costs, and Total cost for each order.
Next only moves between form steps. No transport is created until you validate the details and select Create.
Select Create to create the transport records. After creation succeeds, use the created transport numbers as confirmation.
Retry or fix a job
If a job fails, or if a completed job has no created transports, select Retry process when it is available. If important details are missing, open the details screen and correct the form fields before selecting Create transports or creating the final transports.
Frequently asked questions
Which file types can I upload?
Manual upload accepts PDF, DOCX, and DOC files. You can upload up to ten files in one batch.
Can I use a PDF that was sent by email?
Yes, if Use Copilot Email Integration is enabled for your company. The emailed document path is for PDFs. Manual upload also accepts DOCX and DOC.
Which email address should I send the PDF to?
The email mailbox is set per company. Ask your administrator which address to use.
Why can I not start processing?
Every uploaded document needs an order type. Check Pick type and No. of orders, then select Start processing again.
What should I check before creating transports?
Review General info, Transport info, Order info, and Costs info. Pay special attention to container number, waypoints, and Base cost.
What can I do if Copilot fails?
Use Retry process for failed jobs or completed jobs without transports when the option is available. Rejected or hidden jobs cannot be retried or used to create transports.
