An email signature is the closing block that Trans-IT adds to the bottom of the emails you send, for example invoices, reminders and transport order emails. You can write a personal signature for yourself, and you can set one default signature for the whole company. Both support four languages and dynamic placeholders that are filled in automatically when the email is sent. The company logo is now part of the signature too, and you can place it wherever you want.

Personal or company signature
There are two signatures, and Trans-IT picks one automatically when it sends an email:
1. Your personal signature from your profile is used first.
2. If you did not set a personal signature, the company default signature is used.
3. If neither is set, Trans-IT falls back to a built-in default signature.
The same rule applies per language: the recipient gets the signature in the language of the email.
Set your personal signature
Go to your profile and open the Email signature section. Pick a language tab (EN, FR, NL or DE), type your signature in the editor, then click Save. Each language tab is saved on its own, so you only fill in the languages you need. Use the toolbar for bold, italic, underline, lists and links.
Use placeholders
Placeholders are dynamic fields written between curly braces, like {userFullName} or {companyName}. They stay as text while you edit and are replaced with real values when the email is sent. Click a placeholder tag to add it, or type it yourself. Click Placeholders Info to see what every placeholder means.
Tip. Placeholders must be written exactly between curly braces. If a value is empty, Trans-IT removes that line automatically, so your signature stays clean.
Place the company logo
The company logo is added with the {companyLogo} placeholder. Put {companyLogo} on the line where you want the logo to appear, and it shows up at that exact position when the email is sent. Move the placeholder up or down in the editor to move the logo, and remove it if you do not want a logo at all.
The logo image comes from the file uploaded under logo on the Company profile page, so the logo needs to be uploaded there once. In the email the logo is shown at a width of 200 pixels.
Set the company default signature
You can set one signature for the whole company. Go to Company profile, open the Company profile tab and scroll to Company email signature. It works the same as the personal signature: pick a language, edit, use placeholders and the {companyLogo}, then click Save. This signature is used for any colleague who has not set a personal one.
Reset to the default
You can try things out freely and always go back to the standard signature that Trans-IT already had. In the signature editor, click Reset to default and confirm. This clears your custom text for the language tab you are on and loads the standard Trans-IT signature again. Click Save to keep it. This works the same way for your personal signature and for the company default.
Frequently asked questions
Why do I see the placeholders as text in the editor?
That is normal. They are only replaced with real values when the email is sent.
Can I use different text per language?
Yes. Each language tab (EN, FR, NL, DE) is saved separately and the recipient gets the matching language.
Do I have to fill in every language?
No. A language you leave empty falls back to the company default, and then to the built-in default.
How do I hide the logo?
Remove the {companyLogo} placeholder from your signature and save. To move it, place {companyLogo} on the line where you want it.
Which signature wins, mine or the company one?
Your personal signature is always used first. The company default is only used when you have not set a personal signature.
